HOW TO STUDY A SECRETARIAL COURSE WITH IBTC

You can start at any time and set your own pace. There is not waiting for classes to begin. When you are ready, we will send you all the study material, study aids, planning tools and assessments you need to prepare for your final exams.

Use our Study and Assessment Plan to plan your studies. Our dedicated Course Monitor will walk the road with you and encourage you throughout your studies. His job is to make sure you stay on track. Our dedicated tutors are subject-experts and there to help you if you get stuck. You have unlimited access to your tutor.

HOW MANY SUBJECTS IN A SEMESTER?

There are four subjects at each level of your secretarial course. Most of our students start off with two subjects, because they work during the day and study in the evenings and over weekends.

We recommend that you have 2-3 study sessions per week per subject. You’ll to study about 60-80 hours per subject, which includes time for activities and assessments. There are off course students who can take on more subjects at a time, but most of our students achieve success by studying two subjects at a time and sitting two subjects per exam sitting.

YOUR SECRETARIAL SEMESTER MARKS

Submit assessments to your college to generate a semester mark, which you will need to enter for the exam. Submit all your assessments before 22 January and 1 July to be eligible to receive a semester mark. If your semester mark >40%, you can may enter for the exam.

YOUR SECRETARIAL EXAMS

You should enter for the exam before 22 Feb (if you plan to sit the June exam) and 1 August (if you plan to sit the Nov exam). Write your exam at our exam centres in Sandton and Cape Town. If you are unable to attend these centres, we can make arrangements for you to sit at a local TVET college in your area. You can sit up to 4 subjects in a sitting.

PROGRESSION TO THE NEXT LEVEL

Once you have successfully all four subjects in a level, the Department of Higher Education and Training will issue you with a National Certificate in Management Assistant and you may progress to the next level of your secretarial studies.

YOUR MANAGEMENT ASSISTANT (SECRETARIAL) DIPLOMA

On completion of all three levels and 18 months of practical experience you may apply for your Management Assistant Diploma.

BE THE BACKBONE OF ANY BUSINESS

The top secretaries and personal assistants possess an enigmatic quality that is difficult to capture in training programmes.  It may be your calling, in which case you are destined to be part of a long line of strong women and men in business supporting roles. 

 

The role of the secretary is an age-old one. In medieval times, the secretary handles the secret matters of the King and shorthand was developed as a means of taking down confidential reports in coded form. After the Industrial Revolution, the need for secretaries spiked as their administrative skills were needed for the buying and selling of goods. The influx of women into the workplace after World War II firmly established the role of the secretary into business. Over time the role and activities of the secretary expanded and has become an integral part of how we run a business today. 

All secretarial positions are not equal. The hierarchical model of the traditional secretary is illustrated below, from low to high. 

Copy typist  No decisionmaking powers 
Junior secretary  Builds up repertoire of skills through experiential learning (i.e. learn on the job). 
Senior Secretary  Has decision-making power. May manage a pool of secretaries. May also act as (or grow into the role of) administrative manager. 
Personal Assistant  The secretary and assistant to a manager or senior manager. Experienced. Will take care of personal and work-related matters. 
Executive Assistant  The secretary and personal assistant to a very senior manager, executive or board member. Very experienced at a high level. Could act as proxi (or stand in) for executive in minor instances. May take care of personal and work-related matters. 
Office Manager  From a secretarial or personal assistant role, one often grows into an Office Management role. 
One of the best secretarial management courses to consider is the Department of Higher Education and Training’s National Diploma in Management Assistant.

This 3-year course builds critical skills for better productivity, efficiency and performance in a secretarial or personal assistant role. It’s ideal for post-school adults with a couple of years working experience who want to improve their career prospects.
